Rental FAQs

When you rent one of the spaces at Glen Helen, you will be required to review and sign our Rental Contract. For a few highlights and frequently asked questions regarding the terms of the Rental Contract, please review the questions found on this page.
1What is included in my rental
In addition to the amenities listed on the individual venue pages, rentals of Birch Manor, Camp Greene, and Vernet Ecological Center include tables and chairs with setup and teardown, a Glen Helen staff member on site for the duration of the event, and a one hour site visit for pre-planning or wedding rehearsal.
2Is alcohol allowed?
Yes. All alcoholic beverages must be served by a caterer or third-party bartending service. Bartending service providers shall carry public liability and property damage policy minimum of $1,000,000 coverage per occurrence, which shall include bodily injury and accidental death to any person and shall name “Glen Helen Association and GHA Glen Operations, LLC” as an additional insured under the policy. All employees or contractors serving alcoholic beverages must complete the Ohio TIPS On-premise certified training course and provide proof of training to GHA two weeks before the event.
3What are your policies regarding food?
All food must be catered in or prepared off site, and ready to serve at Glen Helen facilities. Caterers with food trucks may prepare food within their vehicles. No cooking fires allowed outside of a licensed food truck. All arrangements for catering services must be made directly between the client(s) and the caterer. Glen Helen Association accepts no responsibility for performance of caterers. Glen Helen has a list of preferred caterers on our website. If a non-preferred caterer is selected, the client will be charged a non-preferred caterer fee.
4Are pets allowed?
Pets are not permitted inside of Glen Helen facilities. Any pets on premises must remain outside and be leashed or caged as per the rules of the preserve. Pet waste must be collected and properly disposed of before the end of the event.
5When is payment due?
A 25% non-refundable deposit is due at the time booking. The remaining balance plus the refundable security deposit will be due 60 days prior to the event date.
6Am I allowed to arrive early to set up?
No. Setup for the event will begin at the contracted starting time. In addition, clean-up of any items brought to the venue must be completed by the contracted ending time.
